We are a dentist-led clinic providing aesthetic and dental services. As such, we adhere to the General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the standards set by the General Dental Council (GDC).

  • Transaction Data: Details of payments and services you have purchased.

  • Visual Data: Clinical photographs (before and after).

  • Legal Obligation: To comply with GDC regulations and HMRC tax laws.

Note on Medical Records: We process your health data for the purposes of preventive or occupational medicine and the provision of health or social care or treatment (Article 9(2)(h) of the UK GDPR).

5. Third-Party Software and Sharing We use secure, cloud-based record-keeping software to store your clinical notes and personal details.

  • Practice Management Software: We use Pabau to securely store patient records. They act as a Data Processor and are contractually obliged to protect your data.

  • Referrals: We may share your data with other specialists or labs only with your consent or if clinically necessary.

6. Data Retention We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for.

  • Medical/Dental Records: In line with UK national guidance, we generally retain adult records for 11 years after the last entry or treatment.

  • Financial Records: Retained for 6 years to comply with HMRC requirements.

7. Your Legal Rights Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:

  • Request access to your personal data.

  • Request correction of your personal data.

  • Request erasure of your personal data (Note: This right is limited regarding medical records which we are legally required to keep).
